Information you provide

When you contact us, we may receive your name, contact details, company and role, project location, required services and other information relevant to your enquiry. This can include correspondence, drawings, specifications and equipment schedules you choose to send.

Please send only the information needed for us to understand your enquiry. Avoid including unnecessary personal or sensitive information in project documents.

Enquiry correspondence and documents are held in Microsoft 365 email and SharePoint. The website does not have an enquiry form or file-upload facility.

Website visits

Our website is hosted by names.co.uk. Your browser provides technical information needed to request and display pages, including your IP address and the pages requested. The hosting service may record technical information such as request times, browser details and errors in server logs.

We use this type of information to operate the website, investigate technical problems and support its security.

The website's fonts and icons are hosted locally. It has no live-chat widget or newsletter sign-up.

Optional website analytics

If you accept analytics, we use Google Analytics to understand visits to the website and improve its content. This includes the pages viewed, referring websites, visit activity, browser and device information, approximate location, and clicks on our email and telephone links.

Google Analytics uses browser identifiers stored in cookies. An email or telephone click does not tell us whether you sent a message or completed a call. We do not send your enquiry correspondence, project documents or contact details to Google Analytics.

Analytics remains off until you accept. If you reject it, Google Analytics does not load or receive analytics data from this website. You can change your choice using Cookie settings in the footer.

Withdrawing analytics consent

You can change your analytics choice at any time using Cookie settings in the footer. If you withdraw after accepting, the website stops analytics in this browser and removes this website’s Google Analytics cookies. Where the browser’s Google Analytics identifier is available, we send it to our server to request deletion of the associated user data from our Google Analytics property.

The request is held in a private queue on our website hosting while it is processed. A request being queued, or accepted by Google, does not confirm that deletion has finished. We investigate requests that fail; they remain in the queue until resolved. If the website cannot send your request, it directs you to email info@dripmatic.co.uk.

This process concerns the analytics identifier available in this browser. For another browser or device, or to ask about other personal information, contact us using the details above.

Why we use personal information

We use enquiry information to understand the work you need, respond to questions, assess the proposed scope and prepare or discuss quotations.

Our lawful basis depends on the purpose and the person we are dealing with:

• Business enquiries and correspondence: our legitimate interests in responding to prospective clients, assessing irrigation work and managing business communications. This includes contact details of people acting for a company or project team.
• Steps towards a contract with you as an individual: where you ask us to prepare a quotation or take other necessary steps before entering into a contract, we rely on the contract lawful basis.
• Website operation and security: our legitimate interests in maintaining a reliable website and investigating faults or misuse.
• Legal requirements: where we are required by law to retain or disclose information, we rely on that legal obligation.

Who receives information

We use Microsoft 365 for email and document storage, and names.co.uk for website hosting. These providers process relevant information as part of delivering their services to us.

Where necessary to deal with your enquiry, we may share relevant information with project contacts you ask us to liaise with. Information may also be disclosed to professional advisers or public authorities where needed for legal advice, a legal claim or a legal requirement.

If you accept analytics, Google receives website-usage information to provide Google Analytics reporting for us.

Processing outside the UK

Our service providers may use international infrastructure or support teams. Where personal information is processed outside the UK, the applicable provider terms include transfer safeguards, such as adequacy arrangements or contractual protections.

Google may process analytics information outside the UK, including in the United States. Information about the applicable arrangements is available in Google's Data Processing Terms and its international data transfer information.

How long information is kept

There is no single retention period for every enquiry. The appropriate period depends on whether the enquiry or quotation remains active, whether it leads to a project, and whether particular records are needed to meet a legal requirement or establish, exercise or defend a legal claim.

For enquiries that do not proceed, the relevant criteria are whether correspondence is still needed to deal with that enquiry or quotation and whether there is a specific legal reason to retain it.

Technical records are retained according to the hosting service's settings and the needs of website operation, security and fault investigation.

Google Analytics user and event data retention is set to 14 months, without resetting user retention when new activity occurs. This limit does not apply to most standard aggregate reports. We keep your analytics choice for up to 180 days. If you accept, the _ga cookie lasts up to 180 days from when it is first set. The _ga_45F6E4D3QW cookie lasts up to 180 days from the latest analytics activity, so later activity can extend its expiry. If you withdraw consent, we stop analytics in this browser and remove those cookies. If your saved choice expires, any remaining analytics cookies are removed when you next visit.

A pending or failed analytics deletion request may retain the browser identifier until it is processed or resolved. After Google accepts a request, our completion record no longer contains that identifier and is kept for up to 90 days. If a request cannot be completed and is closed following investigation, the decision record does not contain the identifier and is kept for up to 365 days.

Your rights

Depending on the circumstances and the lawful basis used, you can ask to:

• Correct inaccurate or incomplete information.
• Delete information or restrict how it is used.
• Receive certain information in a portable format.
